Exporting Access Data

Learn how to easily transfer your Access files to other Office programs.
Exporting Access data is easy, even if you don't know much about Access or exporting. In fact, it's often as easy as clicking the OfficeLinks button. In this article, we'll review the Export command on the File menu.
A Few Rules
When exporting, it's good to know your limitations. Access allows you to do the following without encountering any difficulties:
- You can export most any Access object to another Access database (or Access project).
- You can export a datasheet, form, or report to an .rtf file. An .rtf file preserves the object's formatting, so this option is good for data you want to open later in Word. Or, you can export the data to a .txt file (which won't preserve any formatting).
- You can export a datasheet, form, or report to an .xls file (Excel). Most formats can be exported along with the data. Access will export a report's group as an Excel outline level and a form's data as a table.
