Media Accreditation

1. Online registration & Onsite registration

Media representatives wishing to cover the 15th ASEAN Summit and Related Summits in Cha-am - Hua Hin can register during 5 - 20 October 2009 at www.15thaseansummit-th.org. Visiting media representatives should ensure that their passports are valid for at least another 6 months upon their entry into Thailand.

The procedure is as follows:

1. A media member submits a duly completed online media registration
form with the following attachments (file sizes should not exceed 500 KB):

  • Passport-sized color photograph with at least 300 dpi resolution
  • Valid Press Card issued by a media agency or the Thai Government Public Relations Department
  • Letter of Assignment addressed to “The Media Secretariat of the 15th ASEAN Summit and Related Summits” and undersigned by Editor or an authorized representative of the media agency. Each agency should issue only one letter, including the names and positions of all media members who will actually represent the agency during the Summits.

For official media, a letter from their Ministry of Foreign Affairs or Embassy, indicating their official designation, should be used in place of the letter of assignment.

Please note that official and non-official media need to submit to the Media Secretariat, prior to their arrival, a list of equipment to be brought into Thailand.

2. The Accreditation Letter will be sent to the same e-mail address as soon as the registration has been processed and approved. Those who need a visa for traveling to Thailand should present this accreditation letter to any Royal Thai Embassy/Consulate-General in their country for issuance of a type-M visa (Single Entry).

2. Collection of Passes

Accreditation Passes and Media Kits can be collected at the 15th ASEAN Summit Media Secretariat, located at @BLACK, 1st Floor, the Sheraton Hua Hin Resort & Spa, at 1573 Petchkasem Road, Cha-Am, Petchaburi, Thailand. The operating hours for collecting your Accreditation Pass and Media Kit is during 21-24 October 2009 as the following:

3. Onsite registration

The Media Secretariat does NOT recommend onsite registration at the Media Centre, only available during 22-24 October 2009 between 08:00-19:00 hrs. Document verification at the Media Centre requires at least 6 hours before accreditation can be granted. Additionally, as only a limited number of Media Kits will be available, priority will be given to those media members who have registered online.

How to get to Cha-am - Hua Hin

There are 3 major transportation modes for traveling from Bangkok to Cha-am - Hua Hin : by car, train and bus. Our suggestions are as follows:

1. By car

From Bangkok, take Highway no. 35 (Thon Buri-Pak Thao route) pass through the provinces Samut Sakorn, Samut Songkhram, and turn left to Highway No. 4 (Phetkasem Road) to Petchaburi. The total distance is 123 kilometers. Another route from Bangkok, take Highway no. 4 (Phetkasem Road), pass through the provinces Nakhon Pathom, Ratchaburi to Petchaburi. 2. By train

Media Access to Events

Access to all events open for coverage is strictly limited to media representatives bearing valid media passes only.

Media Pooling

Due to space constraints, media pooling is necessary for most media opportunities at the 15th ASEAN Summit and Related Summits. The Media Secretariat will arrange all media pooling. The host media crew will be in every pool opportunity and will provide images and video footage as soon as possible after each event through the Media Centre and the official website of the 15th ASEAN Summit and Related Summits’ official website at http://www.15thaseansummit-th.org

The list of nominated media will be announced on the Information Board at the Media Centre one day prior to the programme.

Please see media opportunities programme to check types and number of media allowed in the pooled opportunities programme. Interested media are requested to contact the Media Secretariat through the following channels:

  1. Official Media from all participating countries: Please contact Media Liaison Officers (MLOs) of each country in advance.
  2. Wire service agencies based in Thailand: Please contact the person designated by the wire service agencies as their liaison for media pooling opportunities.

Nominated Media for Pooled Photo Opportunity should assemble and collect their Media Pool Armbands at the Media Assembly Points in Media Marquee and have their equipment checked prior to the appointed time at the security check point in the area. Security checkpoints are located in Media Centre at the Sheraton Hua Hin Resort and at the Media Assembly Points at Dusit Thani Hua Hin.

Media Pool Armbands should be prominently displayed along with Media Passes for all pooled events. Representatives of the Media Secretariat will accompany the group of pooled media to the events. The movement of accredited media in restricted areas will be regulated by Media Secretariat representatives.

There will be designated media areas at events indicated in the Media Opportunities Programme as ‘Full Coverage.’ Unless otherwise specified, media are to stay in the designated area marked by cue poles and may be subject to equipment check before being allowed to enter the area to cover the events.

Bilateral Meetings

Official venues for bilateral meetings will be located at the Dusit Thani Hua Hin. As the venue is in a restricted area, media covering the meetings have to be accompanied by Thai Media Secretariat Representative(s) to the venue.

Airport Arrival and Departure of HoS/HoG

Due to space constraints, media coverage of arrival and departure of Hos/HoG at the airports (both Suvarnabhumi International Airport and Hua Hin Airport) is limited to the host media crew (1 cameraman and 1 photographer) and the official media crew (1 cameraman and 1 photographer) of the arriving or departing delegation in the restricted zone.

The Media Secretariat will arrange the time with official media crew who will cover the arrival and departure of HoS/HoG in due course. All media are subject to bag and equipment checks before being allowed to enter the airport to cover the events.

In addition, there will be designated media areas in non-restricted zones at Hua Hin Airport for accredited media interested in covering arrivals/departures of HoS/HoG. Interested media should arrive at the airport at least one hour ahead of the arrival/departure time and are subject to equipment check before being allowed to enter the airport to cover the events. Information on arrival/departure dates and times of HoS/HoG will be available at the Media Centre.

Media Vehicles Registration

Media Vehicles Registration for the 15th ASEAN Summit
   
Venue: Hua Hin Commercial College
(30/1 Petchakasem Rd., Hua Hin, Prachuapkhirikhan)
Date and Time: 13-25 Oct 09 during 0830 – 1630 hrs
Required Documents:  
  1) Identification card
2) A copy of vehicle(s) registration (also applicable to rented vehicles)
3) Press card (either issued by Public Relations Department or news agency. In the latter case, security officers must be able to check with news agency headquarter for media’s identification.) 
 

* If all documents are approved, sticker for media vehicle will then be issued.
